Contracts and Administrative Assistant

The Office of Los Angeles City Councilmember Hugo Soto-Martinez is seeking a capable, passionate, and detail-oriented Contracts & Administrative Assistant. We are looking for an emotionally mature problem-solver who can seamlessly blend traditional office administration with the tracking and processing contracts and funding allocations.
 

The ideal candidate is a self-starter who thrives in a busy, fast-paced environment, has a background or interest in city government or public finance, and is eager to join a hard-working team focused on getting things done for our community.
 

Responsibilities include, but are not limited to:

  • Filing, Organization & Space Management: Create and maintain efficient digital and physical filing systems and ensure office common spaces are kept organized, welcoming, and well-maintained. 
  • Database Management: Creating and or updating databases and necessary systems to provide support for the office and constituents. 
  • Documentation & Reporting: Preparing reports, presentations, and other documentation, including the tracking and reviewing of discretionary funding applications.
  • Calendar Management: Managing calendars and scheduling meetings for senior staff.
  • Team Collaboration: Working closely with other administrative staff and supporting other colleagues as needed.
  • Personnel Support: provide support to Operations Director on personnel matters, including liaising with the Information Technology Agency on personnel matters and support the onboarding of new staff.
  • Discretionary Funding Support: Serve as the administrative team’s point of contact for community organizations applying for discretionary funds. Review applications for completeness, track statuses in Airtable, and send formal updates.

The ideal candidate will have the following  qualifications & attributes:

  • 2 years of administrative experience in city government or public finance.
  • Reliability & Mission-Driven: A dependable professional with a strong work ethic who shows up ready to collaborate and make a meaningful impact every day.
  • Discretion & Integrity: Experience handling sensitive information with the utmost discretion, ensuring complete confidentiality, security, and compliance with privacy regulations.
  • Agility & Time Management: A proven ability to meet strict deadlines while easily adapting to changing priorities in a fast-paced environment.
  • Professionalism: The ability to naturally present a positive, polished, and welcoming image as a representative of the Council Office.
  • Flexibility & Adaptability: Ability to maintain a flexible work schedule. Hours may shift based on office needs, community events, or council activities, which may occasionally include evening, holiday, or weekend hours.
